Exhibitor Tips

Tips For a Successful
Trade Show Event

We’ve provided these Exhibitor tips to assist you in preparing for CyberCoating 2007. We hope that your attendance and exhibition at the show will be an enjoyable and profitable one.

Plan Ahead
Each person attending the trade show (even if they have a complimentary Exhibitor trade show admission pass) MUST complete the online attendee registration process and download the CyberCoating 2007 Trade Show software, prior to entering the Exposition Hall. While both steps are quick and easy, allow yourself a bit of time to complete these tasks (for most individuals--20 minutes or less).

If you’ll be accessing the trade show from a computer that is working behind a firewall or a proxy server, you may need to alert your IT staff prior to downloading the trade show software to gain permission to open an executable file on your computer. Refer to the Installation Guidlines and Network Information for some useful information. If you run into any difficulties, be sure to also reference our Quick Start Guide for additional information about video problems and firewalls. Technical support can also be provided by contacting Show Management by calling 317/920-6100 or email support@cyberexpo3d.com.

If attending a virtual reality trade show is new for you and your company, we also recommend you take a few minutes to review ourQuick Start Guide to learn about how to move around in a virtual trade show environment and interact with the virtual trade show booths.

Staffing your booth
The success of your trade show experience will depend largely on those people you choose to staff your exhibit booth.  Daily, your booth will need to be staffed, at minimum, between the hours of 9:00 AM and 6:00 PM Central Standard Time (CST). You may determine, due to the reach of your business, to staff the booth additional hours in order to be available to connect with your international prospects.

It is essential that you carefully organize your booth personnel and provide the proper pre-exhibit training for them, so your exhibit experience is a positive and rewarding one.

Technical Assistance
When  needed, technical assistance is available in several forms:

Show management provides 30 minutes of technical assistance to Exhibitors as a part of their exhibit booth purchase. Additional time may be purchased, if needed. Contact CyberExpo3D.com for additional information.

Guidelines for Exhibitor Personnel on the Trade Show Floor
For the benefit of exhibitors and everyone attending CyberCoating 2007, The Powder Coating Institute and CyberExpo3D.com, Inc. have developed this list of guidelines for exhibitor personnel attending the show.  We encourage you to copy and circulate this list to your staff and to follow these guidelines. If a problem develops that hinders or disrupts your business on the trade show floor, please contact Show Management immediately for assistance.  With your cooperation, CyberCoating 2007 will be a success for us all.

If you visit the booth of another exhibitor, you should:

  • Always identify yourself and your company
  • Observe any equipment or products you have an interest in, but do not block displays or restrict other visitors
  • Ask questions if necessary, but do not pressure exhibit booth personnel if they indicate they don’t want to answer your question
  • Never interfere with customers who are in another company’s exhibit booth

Remember you are representing your company when you walk through a show or visit another company’s booth

General Exhibition Information

Music Restrictions
Exhibitor acknowledges and accepts responsibility for securing any licensing agreements and royalty payments for the use of music, video or printed materials that may be protected under United States copyright laws.

Lead Retrieval
Each booth is configured to collect information about the attendees that interact with your virtual trade show booth (i.e., attendee’s name and demographic information). Exhibitor Lead Retrieval information will be provided to Exhibitors following completion of the CyberCoating 2007 Show.

Show Aisles
The aisles are the property of all exhibitors.  Therefore, each exhibitor has the responsibility to assist in the proper flow of traffic through the entire show. When large crowds gather to watch a demonstration, the subsequent interference with the flow of traffic down aisles is an infringement on Exhibitors’ rights.  Please be sensitive to crowd control during demonstrations.

Compliance with Rules & Regulations
Show sponsor and management ask all Exhibitors to assist in upholding the rules and regulations of the trade show, in order to maximize the experience for all individuals exhibiting and attending the show. Failure to adhere to the show rules and regulations will result in offending Attendee/Exhibitor being removed from the trade show floor.
